Uploading Documents for Signature

Documenso allows you to upload PDF documents and prepare them for signing. This guide will walk you through the upload process.

Access Your Documents

From your dashboard, click on Documents in the sidebar or navigate to your team’s documents page.

Start Upload

Click the Upload Document or New Document button. You’ll see options to:
  • Upload a new PDF file
  • Create from a template (if templates are available)

Select Your PDF

Click to browse or drag and drop your PDF file into the upload area.
Documenso currently supports PDF files only. Make sure your document is in PDF format before uploading.

Enter Document Details

Provide basic information about your document:
  • Title: Give your document a descriptive name
  • Folder (optional): Organize by placing in a specific folder

Document Requirements

File Format

  • Supported: PDF files (.pdf)
  • File Size: Check your plan limits for maximum file size
  • Pages: Multi-page PDFs are fully supported

Best Practices

Ensure your PDF is finalized before uploading. While you can edit field placement, the document content itself cannot be modified after upload.
Document Quality Tips:
  • Use high-quality PDFs for best results
  • Ensure text is readable and not pixelated
  • Verify all pages are included and in the correct order
  • Remove any sensitive information that shouldn’t be shared

Document Status

Once uploaded, your document will be in DRAFT status. This means:
  • The document is not yet sent to recipients
  • You can add recipients and fields
  • You can edit or delete the document
  • Recipients cannot access the document yet

Organizing Documents

Using Folders

Organize your documents using folders:
  1. Create folders from the Documents or Templates page
  2. Choose a folder when uploading
  3. Move documents between folders later if needed

Document Visibility

Depending on your role and organization settings, you can set document visibility:
  • Everyone: All team members can view
  • Manager and Above: Only managers and admins
  • Admin: Only administrators
Document visibility settings are configured by your organization administrator and may not be available in all plans.

Multiple Documents

Bulk Upload

For uploading multiple documents:
  1. Upload documents one at a time
  2. Or create a template for documents with similar structure
  3. Use the API for programmatic bulk uploads

Document Limits

Your plan may include limits on:
  • Number of documents per month
  • Number of recipients per document
  • Storage space for document files
Check your organization’s subscription details for specific limits.

After Upload

Once your document is uploaded, you can:

Troubleshooting

Upload Failed

If your upload fails:
  • Check your internet connection
  • Verify the file is a valid PDF
  • Ensure the file size is within limits
  • Try refreshing the page and uploading again

File Not Supported

Documenso only supports PDF files. If you have a different format:
  • Convert to PDF using Adobe Acrobat, Microsoft Word, or online converters
  • Ensure the PDF is not password-protected or encrypted

Document Not Appearing

If your uploaded document doesn’t appear:
  • Check the correct folder/location
  • Verify you’re in the right team workspace
  • Refresh the page
  • Check document visibility settings
