PassTru uses a token-based system to manage your event creation and attendee registrations. This flexible approach allows you to purchase exactly what you need and use tokens as required.

Token Types

PassTru has two types of tokens:

Event Tokens

Event tokens allow you to create events in your organization.
  • 1 event token = 1 event creation
  • Consumed when you create a new event
  • Non-refundable once the event is created
  • Returned to your balance if you delete an event before attendees are added

Attendee Tokens

Attendee tokens are consumed when you add attendees to your events.
  • 1 attendee token = 1 attendee registration
  • Consumed when you upload attendees via CSV or manually add them
  • Returned to your balance when you delete an event (unused attendee tokens are refunded)
  • Used across all your events
Event tokens are only refunded if you delete the event. Attendee tokens are refunded when you delete an event with registered attendees.

How Tokens Are Consumed

Event Creation

When you create a new event from /events:
  1. The system checks if you have at least 1 event token available
  2. If available, 1 event token is deducted from your balance
  3. The event is created successfully
  4. If insufficient tokens, you’ll be prompted to purchase more

Attendee Registration

When you add attendees to an event: Bulk CSV Upload (/portal/attendees):
  • Each row in the CSV = 1 attendee token
  • The system validates your token balance before processing
  • If insufficient tokens, the upload is rejected
Manual Add:
  • Each individual attendee added = 1 attendee token
  • Token is deducted immediately upon save
Always ensure you have sufficient tokens before bulk uploading attendees. The system will reject the upload if you don’t have enough attendee tokens.

Token Refunds

Event Deletion

When you delete an event:
  • All unused attendee tokens allocated to that event are returned to your balance
  • The event token used to create the event is not refunded
  • All attendee data is permanently deleted
Before deleting an event, download the event data from the delete confirmation dialog to preserve your attendee records.

Checking Your Balance

You can view your current token balance in multiple locations:
  1. Client Dashboard (/dashboard) - Token Balance card shows both event and attendee tokens
  2. Purchase Tokens Page (/purchase) - Displays current balance at the top
  3. Event Management (/events) - System warns if insufficient tokens when creating events

Token Allocation by Super Admin

Super Admins can manually add tokens to your organization:
  • Via the Client Management page (/super-admin/clients)
  • Edit your package to add event tokens or attendee tokens
  • No payment required for manual allocations
  • Useful for enterprise agreements or special arrangements

Best Practices

Plan your events

Estimate the number of events and total attendees you’ll need for the quarter or year.

Purchase in bulk

Buy tokens in larger quantities to benefit from volume discounts (see pricing tiers).

Monitor your balance

Regularly check your token balance before creating events or uploading attendees.

Download data before deletion

Always export event data before deleting events to preserve records.
