QR Code Overview

QR codes provide a simple way for event guests to access your Cabina photo booth instantly by scanning with their smartphone cameras.

How QR Codes Work

Guest Scans QR Code

Using their phone’s camera app or QR scanner.

Redirects to Event URL

QR code contains your event’s unique URL: app.metalabia.com/?event=[your-event-slug]

Event Kiosk Loads

Guest sees your branded photo booth interface immediately.

Guest Generates Photo

Selects style, takes photo, generates AI image.
No App Install Required: Guests don’t need to download any app. The web-based kiosk works directly in their mobile browser.

Getting Your QR Code

Partner Generates QR Codes

Important: Event Organizers (you) cannot generate QR codes directly. Your partner creates them for you.
To Get Your QR Code:

Contact Your Partner

Email or call your partner and request QR code.

Partner Generates in Dashboard

Partner accesses their dashboard, clicks on your event, and generates the QR code.

Partner Sends QR File

Partner downloads the QR image and sends it to you via email or file sharing.

What’s Included in QR Design

The generated QR code includes:
  • Event Name: Your event title at the top
  • Custom Text: ”📸 Escaneá y creá tu foto con IA”
  • QR Code: Scannable code in center (white background)
  • Event Logo: Your custom logo or partner logo (if configured)
  • Brand Color: Accent color from branding settings
  • Footer: “Powered by MetaLab IA • metalab30.com”
File Details:
  • Format: PNG image
  • Dimensions: 520px × ~700px (optimized for print and digital)
  • Resolution: High-res for printing
  • Filename: qr-[event-slug].png

Partner QR Generation Process

For Partners: Here’s how to generate QR codes for your client’s event.

Using EventQRGenerator Component

If your partner uses the EventQRGenerator.tsx component:

Open Event Details

Partner clicks on event in dashboard or events table.

Click QR Code Button

Looks for QR Code icon button (typically in event actions).

QR Modal Opens

Full-screen modal displays:
  • Event name
  • QR code preview
  • Event URL
  • Download and Print buttons

Download QR

  • Click “Descargar” (Download) button
  • Branded PNG file downloads with QR, logo, and event details
  • High-resolution (400x400px QR + padding)

Send to Client

Partner emails or shares file with you (the Event Organizer).

QR Customization

The QR design automatically includes:
  • Your event branding (logo, color)
  • Event name from settings
  • Cabina logo embedded in QR center (for brand recognition)

Printing QR Codes

Recommended Print Sizes:
  • Small (Flyers, Cards): 3” × 4” minimum
  • Medium (Table Tents): 5” × 7”
  • Large (Posters, Signage): 8” × 11” or 11” × 17”
Print Quality:
  • Use high-quality printer (300 DPI+)
  • Print on matte or semi-gloss cardstock
  • Ensure QR code is sharp and clear
  • Test scan before mass printing
Always Test: Print one copy first and scan with multiple phones to ensure it works before printing hundreds.

Table Tents

Use Case: Place on guest tables at receptions Setup:
  1. Print QR on cardstock (8.5” × 5.5” folded in half)
  2. Add text: “Scan to create your AI photo!”
  3. Place on each table
Quantity Needed:
  • 1 per table (or 1 per 2 tables for large venues)

Posters

Use Case: Entry points, photo booth area Setup:
  1. Print on 11” × 17” poster paper
  2. Include instructions: “1. Scan QR, 2. Choose Style, 3. Take Selfie”
  3. Mount on easel or wall
Quantity Needed:
  • 2-4 posters (entrance, bar, photo area, exit)

Handheld Cards

Use Case: Roaming staff to encourage participation Setup:
  1. Print on business card size (3.5” × 2” or 4” × 3”)
  2. Laminate for durability
  3. Give to event staff/volunteers
Quantity Needed:
  • 5-10 cards for staff

Professional Printing Services

For large or high-profile events:
  • Vistaprint: Upload PNG, order table tents or posters
  • Local Print Shops: Higher quality, faster turnaround
  • Online Services: Moo, GotPrint, Printful
Tips:
  • Provide high-res PNG file
  • Request proof before full run
  • Order 10% extra for backups

Placement Strategies

High-Traffic Areas

Best Locations:
  • Entrance/Registration: First thing guests see
  • Guest Tables: Guests sitting have time to scan
  • Bar Area: While waiting for drinks
  • Photo Booth Zone: Dedicated area with instructions
  • Restroom Entrance: Captive audience while waiting
Avoid:
  • Dance floor (too chaotic)
  • Dark corners (scanning issues)
  • Behind obstacles

  • Post QR image on Instagram Stories with “Swipe Up” (if available)
  • Share on Facebook event page
  • Tweet QR before/during event

Event Websites

  • Add QR image to event landing page
  • Include in FAQ or “How It Works” section
  • Provide download link for guests to save

Presentation Slides

For conferences or corporate events:
  • Include QR on last slide of presentations
  • Display on loop during breaks
  • Project on screens during networking

Using Direct URL Instead of QR

If QR codes aren’t feasible, share the direct URL: Your Event URL:

Where to Use:
  • Text messages to guests
  • Social media posts
  • Email signatures
  • Verbal announcements (“Visit app dot metalabia dot com slash events slash [slug]”)
Pros of URL:
  • Works in all contexts (digital and verbal)
  • Can be bookmarked
  • Easy to type
Cons of URL:
  • Longer than scanning QR
  • Risk of typos
  • Less immediate than scan
Best Practice: Use QR codes for in-person events, and direct URLs for digital promotion.

Troubleshooting

Possible Causes:
  • Print quality too low (blurry QR)
  • QR code too small
  • Poor lighting at venue
  • Guest’s camera not focused
Solutions:
  • Reprint at higher resolution
  • Increase QR size (at least 3” × 3”)
  • Add lighting to QR display area
  • Instruct guests to tap screen to focus before scanning
Check:
  • Does the URL in QR match your event slug?
  • Is event active (not paused by partner)?
  • Does event have credits remaining?
Solutions:
  • Verify QR points to correct URL (ask partner)
  • Have partner check event status
  • Top up credits if needed
Causes:
  • Venue WiFi issues
  • Mobile data connectivity
  • Event URL malformed
Solutions:
  • Ensure venue has strong WiFi (provide password)
  • Test with multiple phones in different areas
  • Share direct URL as backup
Cause: Partner generated QR before you updated branding in dashboard.Solution:
  • Update branding in your dashboard and save
  • Ask partner to regenerate QR code
  • New download includes updated logo/colors
Workaround: Use free QR generator online:
  1. Go to qr-code-generator.com or similar
  2. Enter your event URL: app.metalabia.com/?event=[slug]
  3. Generate and download
  4. Won’t have custom branding but will work
Note: For official/branded version, still request from partner later.

Best Practices

Before Event

  • 📝 Request QR code from partner at least 5 days before event
  • 🖨️ Print test copy and scan with 3+ different phones
  • 📍 Plan placement locations in advance
  • 👥 Brief staff on how to demonstrate

During Event

  • 👀 Monitor guest engagement (are they scanning?)
  • 👮‍♀️ Have backup QR codes printed (in case of damage)
  • 📱 Keep direct URL handy for guests who can’t scan
  • 📢 Announce QR location periodically

After Event

  • 📊 Track how many guests used the booth (via gallery)
  • 📝 Note what worked (placement, signage)
  • ♻️ Save QR files for future reference
  • 💬 Share feedback with partner
